Executive Assistant to the CEO & Marketing Associate

Progressive Power Lab seeks a tech savvy, problem solving, detail oriented Executive Assistant to the CEO and Operations Associate who will support the CEO and senior team in managing team meetings and retreats, donor and client communications, and social media posting. The majority of the role will be in operations management, managing the HQ office, documenting and training staff in standard operating procedures for technology use, and launching and managing an intern program. This is the perfect role for a highly organized, smart, tech-savvy person with EA experience who’s ready for more.

Our team provides management and marketing services to PPL partners that provide technology, canvassing services, grassroots organizing services, financing, and technical support to organizations moving millions of people and dollars into action.

Membership Drive tools are built to support the work of progressive organizations and are available to anyone in the Salesforce AppExchange marketplace.

Executive Assistant to the CEO and Operations Associate Roles and Responsibilities

The successful candidate will fulfill the following roles and duties:

Executive Assistant to the CEO Duties

  • Work with CEO and senior PPL team to design and schedule meetings and retreats where PPL team members formulate and evaluate strategy;
  • Manage CEO’s and select senior staff’s schedule and attendance of gatherings of philanthropies, thought leaders, and other essential meetings and gatherings;
  • Manage correspondence upon request with donors, clients, and stakeholders;
  • Perform research on donors to inform fundraising strategies;
  • Manage senior team reporting deadlines and project timelines, providing background information and key reports for internal and external meetings;
  • Coordinate senior team meeting preparation; and
  • Other tasks as assigned by CEO.


Operations Associate Duties

  • Manage fundraising counsel, foreign corporation, and other corporate registrations and the associated reporting for PPL partners, ensuring all PPL partners are compliant with registrations and reporting;
  • Provide training and give and remove access for staff on systems and software, including digital files, VOIP phones, project management software, Office software, and other tools required by team;
  • Create and maintain standard operating procedure documentation, including account information, used by PPL;
  • Post job listings for new hires, screen candidates, and schedule interview processes;
  • Manage VOIP phone system, ensuring all staff know how to use PPL’s tools;
  • Plan in-house or off-site activities, like parties and retreats.


Marketing Asset Management

  • Support the full funnel marketing manager in posting social media assets when needed;
  • Post social media for CEO when needed;
  • Maintain library of photos and marketing assets;
  • Maintain tracking url sheet for all promoted links to our web properties.


Office Management

  • Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, and receiving checks and bills;
  • Maintain the office condition and arrange necessary repairs;
  • Organize office operations and procedures;
  • Manage office equipment and inventory;
  • Manage office General and Administrative budget, ensure accurate and timely reporting.


Intern Program Management

  • Recruit a minimum of six full-time interns to work with various PPL partners during Spring (Jan – May), Summer (June – August), and Fall (September – December) seasons;
  • Work with staff in PPL to create projects for interns that comply with labor law and provide an educational benefit to the interns;
  • Incorporate interns into existing learning opportunities available to all PPL partner staff, such as brown bags, briefings, and case studies.

You’re described as “goal oriented,” “detail oriented,” “driven,” “someone who can just figure it out,” “self-motivated,” and “collaborative.” PPL brands are largely start ups so a love of building things and a desire to create the systems that best support the work without requiring them to push your work forward in real time is a must.

Candidates for the Executive Assistant to the CEO and Operations Associate should fit this description:

  • Tech savvy. You’ve used simple project management tools before like Asana, Jira, or other tools for team collaboration and process management. You’ve used CRMs like Salesforce. You are resourceful in how you figure out how to use new tools or existing tools in new ways;
  • You’re a Microsoft Excel pro, and proficient in basic Microsoft products;
  • Organizational skills. You don’t drop balls. You finish work with an eye for detail. And you strive to always meet deadlines;
  • Fearless, respectful communication. You give honest, constructive feedback to your manager. You know how to share your workload, and ask for input on priorities if you have too much to do;
  • You solve problems. When you don’t know how to do something, you research it, you Google it, you ask for advice from peers or outside resources. You figure it out;
  • Excellent written and verbal communication skills. You can write and speak with CEOs, and you can connect to a diverse pool of interns, exciting everyone to work with PPL and our partners;
  • Knowledge of office administrator responsibilities, systems and procedures;
  • Excellent time management skills and ability to multi-task and prioritize work;
  • Strong organizational and planning skills in a fast-paced environment; and
  • A creative mind with an ability to suggest improvements.

Executive Assistant to the CEO and Operations Manager Compensation

  • Compensation for the Executive Assistant to the CEO and Operations Associate will be commensurate with experience
